Off Campus Use of Equipment

Off Campus Use of Assets Policy Statement The University of Georgia is required by the Board of Regents of the University System of Georgia and state and federal regulations to inventory and track movable assets. Assets are acquired from a variety of sources and must be used for institutional purposes. Board of Regents Policy Manual Section 7.11.9

Documenting Off Campus Use of Equipment

Inventoried items with a University of Georgia inventory control tag must be documented for off campus use by Stan Johnson or Chris Williamson.

Departments and units are responsible for tracking all non-inventoried assets(equipment purchases under $500) that are removed from campus.

Employees must agree to:

  1. Take all necessary precautions to protect any and all sensitive data while the University equipment is in your possession.

  2. Adhere to the University’s Guidelines for Handling Sensitive Information (https://infosec.uga.edu/policies/sensitiveinfo.php)

  3. Return the equipment to the University once it is no longer needed outside of the University.

Insurance Coverage

Inventoried equipment recorded as off-site in the UGA Financial Management system carries all-risk insurance coverage which will be charged to your department once per year. For questions about the rates please call Insurance and Claims at 706-425-3250. Non-inventoried equipment must be reported directly to Insurance and Claims if there is a need for allrisk insurance coverage.
